I want to issue gift cards without receiving payment for promotional purposes. How can I do it?

I want to issue gift cards without receiving payment for promotional purposes. How can I do it?


For clients who want to load gift cards on the POS without taking payment, log in to the Revel app, and tap on the gear wheel (or Settings, depending on your software) on the upper-left hand side and tap on Gift Cards (Note: only those with permissions to Create Gift/Rewards Cards will be able to view this option. See our Role Permissions page for instructions on assigning permissions to employees).
 

 
An Actions window will pop up with several options. Tap on Create Certificate > OK, and follow the prompts to create a gift card and add a value. No payment will be taken.

I have my own gift cards from a previous POS system. Can I transfer the information to Revel?


Gift Cards from other POS systems may or may not work with Revel Systems. Card swipes purchased through Revel are specifically encrypted with an injection key based on the client’s payment gateway. 


If the cards are compatible, you will be able to swipe the gift cards and load them as normal as per the instructions detailed in Gift Cards. If the cards are not compatible, you will have to manually enter the number on the physical card when prompted to swipe the card.
 
Regardless of compatibility, you are able to import the information from your previous POS into Revel System’s backend. To import, please log into the backend and click on the Settings tab. Go to Settings (Advanced) > Gift, Rewards and Admin Cards, and click on the Import link to the right of Gift Cards.
 

 
After clicking Import, click on Download Import Template. It will download an Excel file where you can input the Number of the Gift Card, and the Remaining Balance of the Gift Cards. Recall that this information has to be retrieved from your previous POS system.
 
Afterwards, return to the same Import screen, and click Choose File and select the Import Template you worked with. After clicking Upload, you can view the imported Gift Cards under Reports > Other Reports > Gift Cards.

How do I check the balance on a customer's gift card?


There are two ways to check the balance on a customer’s gift card:
 
1.   Through Gift Card Reports
2.   Through the iPad POS
 
To check the balance on the iPad, tap on the gear wheel (or Settings, depending on your software), and tap on Gift Cards (Note: only those with permissions to Create Gift/Rewards Cards will be able to view this option. See our Role Permissions page for instructions on assigning permissions to employees). On the Actions window, tap on Manage Gift Certificate and swipe the card or manually enter the card number. It will then display the balance remaining on the Gift Card, along with options to Add Value or Link a Customer to the card.

I'm not interested in tracking card information, what if I just want to sell/redeem a gift certificate?

 

Using the standard Revel Gift Card “flow” and tracking gift card balances is the only way of keeping an actuate “Liabilities” total in Revel’s reporting.    That said, if you are OK with Gift Card purchases being tracked as part of your sales total there is a work around:

1.  Create a “Gift Certificate” product and mark it as untaxed.  Do NOT make this product a part of the default “Gift” class (because this will trigger Gift Card liability tracking and will cause the product to attempt to create gift cards through the Revel system).    If you would like to sell certificates for fixed values ($5, $10, etc) then just specify it’s price as normal.   To allow for a variable priced Gift Certificate product, set the Price to $0 and check the box to “Allow price override”.   This will cause the product to prompt for a price when sold.

2. To redeem the gift certificate, add items to the order on the order screen. When ready, tap Pay, and enter the amount to be tendered from the Gift Certificate, e.g. $15. Then, tap on "Credit +” and then select “Gift Card", and hit OK.  Note: that this Gift Card entry is different from one that utilizes cards. If you do not see Credit + Gift Card enabled as a payment method, please contact Technical Support to have those payment methods adjusted for you.
