Creating Matrix Inventory on the Management Console

By Wilson | Updated

Matrix Inventory allows you to add and manage product lists that consist of similar items that are available in a variety of attributes, such as size or color. For example, you might use Matrix Inventory if you sell t-shirts or shoes in various sizes in colors or Matrix can even be used in Pizza Establishments that sell their pizzas in different sizes with different crust options. Each product is defined by a combination of attributes is a unique product with its own price, inventory and/or recipe.

These instructions will show you how to create your Matrix Inventory from the Management Console. If you are interested in learning how to add products on the Point of Sale directly, please see our article Creating a Matrix Inventory with Your POS. Additionally, Matrix Inventory can also be imported in bulk using an Excel sheet. For more info on this, please see our article Import Matrix Inventory.

    1.jpg
  2. You'll be prompted for the Product Details, such as name, barcode, price, etc. Fill out all required fields. NOTE, you can edit the barcode and price for any products after you add the matrix details, so if an XXL shirt is charged more than a Small shirt, you can adjust pricing.

For the drop-downs, if an option does not appear, you may it from here. For example, if you do not have a t-shirt category and you want to add one, just type in the category name and you'll be prompted to add it. When ready, you can click on Matrix Details to expand:
    2.jpg
  3. Matrix details is where you will enter your attributes. A few things to note:
    • If this is the first product you are adding as part of the matrix, under Attribute Type, you will need to select Parent. Parent products need to be generic, meaning the product name should NOT include any details, such as size, color, type, etc.
    • Next, you can select your Attribute Sets. Each product can have up to two associated Attribute sets. If your attribute sets already exist in the system, you can choose those from the drop-down.:
      3.jpg
    • If your attribute sets are NOT already in the drop-down, scroll to the bottom of the list and you can choose Create new attribute set (see section below on Creating Product Attributes in advance): 4.jpg
      • You'll then be prompted to add your Attribute Set and the associated values. If you need more than three, you can choose +Add More Values to do so. Choose Create when finished:
        5.jpg
  4. When finished with the Matrix section, choose Save & Continue at the bottom of the page.
  5. Next, you'll be prompted to choose the values for which you'd like to create products. Note, if an item is not available in a particular size and/or color, you can adjust the attribute values from here by simply clicking on the X next to the values. Click Create when finished:
    6.jpg
  6. You'll see all available combinations of products with the selected attribute values. Note, name and price are required. You can choose to Auto-Fill some of your product details by choosing that option at the top left:  7.jpg
    • If you choose to Auto-fill, there are multiple options to select from, including:
      • Name - Two options appear here to select the order in which you would like the product name display - either to have the attributes first and then the parent name (e.g. Small Purple Agave Tshirt) or Parent Name followed by attributes (e.g. Agave Tshirt Small Purple)
      • Price - this will fill in the price of the parent product for all child products; this can be edited on each item so if you charge more for certain items, you can easily adjust.
      • Barcode/SKU - The system can automatically create Barcodes and/or SKUs for you. use this if you do not have a manufacturer or existing barcode that you would like to use for scanning your items.
      • Starting Inventory Amount: If you know that you have started out with a set number of items in each color/size or other attributes, you can enter the starting inventory amount, which will then apply to all products. You can also adjust this on the individual level, so if you ordered less of the XXXL, you can adjust the starting inventory amount just for that item:
        8.jpg
  7. Click Apply and you'll see all the selected information automatically filled in for each product. This is where you can edit individual items, as necessary. So, if the pricing is different for certain products, simply type in the new product price to override:
    9.jpg
  8. Click Generate Child Products when finished.
  9. On your product list, you will now see your Parent and Child Products all linked together with a bracket, indicating that the matrix inventory has been set for those products: 10.jpg
