Role Permissions Guide

Once you create roles in your system, you will need to assign Role Permissions to make them functional. The role permissions selected or deselected for a specific role will affect the amount of access an employee has to the Point of Sale. To assign or unassign a permission to a role, simply click the appropriate box in the matrix under Employees> Role Permissions. Below is a guide that explains all permissions in detail: 

  • Copy Role: A copy of the role clicked will be created.
  • Select All Permissions: Gives a specific role all permissions.
  • Owner Access: Allows access to owner-restricted areas on the Point of Sale. It also causes the user’s PIN to be treated as a valid password for restricted actions. It does not allow using those actions without inputting the PIN.
  • Manager Access: Allows access to manager-restricted areas on the Point of Sale. It also causes the user’s PIN to be treated as a valid password for restricted actions. It does not allow using those actions without inputting the PIN.
  • Batch Process: Grants access to view and manage the Batch Process under the Point of Sale Manager Settings.
  • Decline Payments: Grants access to view and manage the Declined Payments under the Point of Sale Manager Settings.
  • Financials: Grants access to the Financials screen and reports.
  • Incoming Calls: Grants access to the list of incoming calls under Point of Sale Manager Settings.
  • Inventory: Grants access to Manage Item Mode and Inventory on the server under Point of Sale Manager Settings.
  • Lock: Grants access to the screen that allows the ability to lock a user to particular iPads under the Point of Sale Manager Settings. Lock users cannot log in to particular Point of Sale stations.
  • Manage Item Mode: Grants access to Manage Item Mode. User is able label an item In Stock or Out of Stock and allows them to set the stock, including the 86 Function, under the Point of Sale Manager Settings.
  • Offline Payments: Grants access to view and manage Offline Payments under the Point of Sale Manager Settings.
  • Photo Edit Mode: Grants access to Photo Edit Mode under Point of Sale Manager Settings.
  • Point of Sale Settings: Grants access to view and change Point of Sale Settings under the Point of Sale Manager Settings.
  • Time Management: Grants access to the Time Management screen under the Point of Sale Manager Settings.
  • Troubleshoot Mode: Grants access to Troubleshoot Mode under Point of Sale Manager Settings
  • End of Day: Enable access to a standard End-of-Day Process that can be run on the main Point of Sale terminal at the end of each business day.
  • Custom Menu Management: Allows user to manage Custom and Manual Menus, turning them on or off as desired.
  • Messaging: Enables Messaging permissions.
  • Invoice Messaging: Allows user to receive a message notification once any invoice on any Point of Sale station is sent. After that invoice is converted to an order form, another notification will be generated to the invoice creator’s Point of Sale station.
  • Add Extra Items: Allows users to access the Add Extra Items function.
  • Approve Large Tips: Allows users to approve very large tips. A password input is still required.
  • Auto Gratuity: Allows users to add, remove, or edit the auto gratuity without a password.
  • Can stay logged in: Allows the user to remain logged in to the Point of Sale, despite auto-logout settings.
  • Clock In/out Restrictions Override: Allows users to bypass or override any clock in or clock out restrictions, including clocking in too early or clocking out with open orders.
  • Clock out with Open Orders: Allows employees to clock out if they have open orders. If not, they shall have to close their orders before clocking out. Employees with the Clock In/Out Restrictions Override permission can ignore this limitation.
  • Closed Held Orders: Allows users to run the Close Held Orders feature. Password input still required. All orders without payment will remain open. All orders with 0 balance will close out.
  • Comps: Assuming comps are supported on the Point of Sale, this token gives the user permission to comp items.
  • Cost Management: Allows user to see and manage inventory costs on the Point of Sale.
  • Create Gift/Rewards Cards: Allows users to create and manage gift and rewards cards without a password.
  • Create New Products on the Point of Sale: Allows user to create new products on the Point of Sale. This does not impact Add Extra Item.
  • Create/Receive Orders: Allows users to create new orders or receive transferred orders.
  • Credit Plus: Allows users to use Credit + payments without a password.
  • Customer Access: If Restrict Access to Customer Records on the Point of Sale is enabled, this permission allows the employee to bypass those restrictions.
  • Declare Tips: Employees with this token will be prompted to declare their tips on clock out.
  • Delivery Driver: Delivery Drivers have limited access to the Delivery Management system.
  • Delivery Manager: Users with this token have full access to all functions of the Delivery Managementsystem.
  • Delivery Postmates Driver: Only applies to the Postmates Driver role; enables Postmates driver assignments in the delivery console.
  • Delivery Settings: Users with this token have full access to adjust delivery settings in the Point of Sale delivery interface.
  • Delivery Uber Driver: Only applies to the Uber Driver role; enables UberRush driver assignments in the delivery console.
  • Edit Appointments: All users may create their own appointments. This permission allows an employee to create, edit or delete another employee’s appointments without inputting a password.
  • Edit Commission: Allows users to edit commission on items.
  • Employee Sales Summary: Allows users to run the employee sales summary without a password.
  • Employee Time Management: Allows an employee to view their Time Worked data on the Point of Sale.
  • Exchanges: Allows users to exchange items without a password.
  • Held Order: If enabled, users have access to the Held Orders screen without a password.
  • Inventory—Actual:Allows user to change actual amount of inventory items.
  • Inventory—Damage: Allows user to update wastage of inventory items.
  • Inventory—Receive: Allows user to receive items to inventory.
  • Inventory—Update Cost: Allows user to update cost of inventory items.
  • Item Discount: Enabling this allows users to apply item discounts without a password.
  • Login Restrictions Override: Allows users to bypass or override any login restrictions, such as logging in without clocking in.
  • Login/Logout Enabling: Allows the user to log into the Point of Sale.
  • Manual Discount: Allows users to apply manual discounts without a password.
  • Manual Gift Card Input: Allows user to type in a gift card number. Otherwise, they must use a cardswipe.
  • Manually Print Payment Receipts: Allows a user to reprint payment receipts.
  • Move Item/Table: Allows users to move items between tables or orders, or to move whole tables without inputting a password.
  • Open Cash Drawer: Allows users to open the cash drawer without a password.
  • Override Add Product Restrictions: Users with this token will be able to add products to orders even if those products should not normally be added. for example, they are out of inventory or the order type conflicts with the acceptable order types for the product. Without this permission enabled, users will be prompted to enter a password when attempting to add an item that meets the above conditions.
  • Override Prevailing Tax Rate: Allows users to override prevailing tax rate for an order or for the day without a password.
  • Override Void/Return/Exchange Limits: Users with this permission can override limits to void/ returns/ exchanges.
  • Physical Inventory—Count Sections: User will be allowed to perform manual section counts. This is dependent on whether or not manual counts are required as a step in the physical inventory.
  • Physical Inventory—Scan Sections: User will be allowed to scan products in a section to perform inventory stock-take.
  • Physical Inventory—Set Recount: User will be able to remove counts for a specific section and require the section be recounted and rescanned.
  • Postmates Limit Override: Allows user to override restrictions on assigning orders to Postmate drivers.
  • Price Override: Allows users to override prices on an item.
  • Printer Redirect: Allows users to redirect printers without a password.
  • Receiptless Returns: Allows user to perform receiptless returns without inputting a password.
  • Refresh Point of Sale: Allows user to refresh the Point of Sale.
  • Refund Payment: Allows users refund payments without a password.
  • Remove Tax: Allows users to remove tax from an order or item without a password.
  • Require Admin Card Swipe: Employees with this token will need to swipe their admin card to access the system. Employees without this token may use an admin card or type in a PIN.
  • Restricted Gift Card Access: If Restrict Gift Access is enabled, this allows users to create and load gift cards from Settings> Gift Cards without a password.
  • Reward Cards: Allows user to manually add or subtract rewards points from a card.
  • Run Employee Sales Report with Open Orders: If enabled, employees with open orders can still obtain their sales report. If not, they will have to close their orders and wait for them to sync before running the report.
  • Scales: Allows user to perform restricted scales functionality, such as inputting weight manually.
  • Search Orders: Allows users to search for orders without a password.
  • Serial Number Management: Users with this permission will be able to manage restricted serial number functions without inputting a password.
  • Service Fees: Users with this permission will be able to perform advanced service fee functions without inputting a password.
  • Set Main: Allows users to set a Point of Sale station to be the main. Password input is still required.
  • Access All Tills: Allows user to bypass till ownership restrictions.
  • Allow Cash Entry Correction: If disabled, disables the back button from Till Checkout Summary popup.
  • Assign Till Ownership: Allows user to modify ownership of a till.
  • Cash Logs: if disabled, prevents printing of cash logs from the Set Till and Till Managementscreens.
  • Checkout Summary: If disabled, suppresses the checkout summary popup entirely.
  • Tills—Close a Till: If disabled, disables the Checkout button on the Set Till Amounts popup.
  • Tills—Hold a Till: If disabled, disables the Hold Till button from the Set Till Amounts popup.
  • Tills—Pay-ins: Allows user to perform Pay-Ins without a password.
  • Tills—Pay-outs: Allows user to perform Pay-Outs without a password.
  • Tills—Safe Drop: Allows user to perform Safe Drops without a password.
  • Tills—Set a Till: Allows user to set a till.
  • Today's Orders: Allows users to access Today’s Orders without a password.
  • Training Mode Exit: Allows the user to exit training mode.
  • Transfer Orders: Allows user to transfer any order from one user to another. Without this permission, users may transfer only their own orders.
  • Uber Limit Override: Allows user to override restrictions on assigning orders to UberRush drivers.
  • View All Orders: Allows user to see all order and table times. Without this token, employees shall see only their own orders.
  • Virtual Till Virtual Tills are tied to individual employees. The cash transactions of an employee with virtual till will all be logged to the virtual till instead of physical till the employee is operating. Employees may make cash drops from their virtual till into a physical till.
  • Void Items: Allows users to void or return items without a password.
  • iPad Reports: Allows user to view the Point of Sale Drop Down Reports without a password.
