How to Setup Employee Permissions in EMS

Overview

Revel's Enterprise Management Software (EMS) allows you the flexibility to apply employee roles and permissions across establishments very easily. This is helpful if you want all of your roles to have the same level of access across all establishments.

NOTE: Make sure you have set up your Employee Roles first using How to Manage Employee Roles and Permissions, otherwise there will not be any Roles or Permissions to copy.

How to Setup Employee Permissions

To begin:

  1. Login as an administrator on the Management Console [yourdomainname.revelup.com].
  2. Click on the current establishment at the top of the page. Ensure that you are on the Global level by choosing the folder labeled All Establishments with the total number of establishments in parenthesis. Additionally, if you have created custom groups for establishments, you can pick a Group instead of the global level.     (Note: The name of the folder may be different if you have renamed it but it will always be the first one in the list with the total number of establishments in parentheses):

  3. Once the global folder is selected, navigate to the Employees tab, then select Permissions and POS Role Permissions:1.jpg
  4. Two options appear across the top:
    1. Set Permission Tokens: Token Permissions allow you to select what you want each role to have access to.

      You will see all permissions as they are currently set, with Roles listed across the top and available Permissions on the left. If you want to activate new permissions for a role, check the box and any new changes will be highlighted in blue. Once you finish, select Save and all permissions will push to all establishments: 1-3.jpg
      HELPFUL TIP: It's good practice to set up all your employee permissions in your Base Establishment first. Then, when you navigate to your Global EMS Folder and go to Employees > Permissions > POS Permissions, you will see all the settings created on your base establishment. Any changes you make to permissions at the global level will then push to all other establishments, duplicating the ones you have set on the base.
       
    2. Edit Locks: This allows you to lock role permissions so they cannot be edited by an employee at the Establishment Level, unless they have EMS access. You can lock individual permissions, and you will see the padlock go from open to close. You can also lock all permission for a role using the Select All Permissions at the top for a particular role. When finished, press Save and all changes will push to all establishments:1-4.jpg
      NOTE: If you lock or unlock a role, all permission settings are pushed at the same time. Anytime you edit either Set Permission Tokens OR Edit Locks, when you choose Save, the settings for BOTH are pushed to all establishments.

How to Copy Roles in EMS

Copying Roles is nice if you have different but similar positions and you want to set up slightly different permission sets for them.

  1. You can also create new Permissions using the +Add option at the top of either the Set Permission Tokens or Edit Locks pages. When you click it, an option appears for you to Copy Role:1-5.jpg
  2. Select the Role you'd like to copy from the Drop-down of existing roles:1-6.jpg
  3. When finished, click Copy:

  4. When the duplicate role has successfully been created, you will get a confirmation:1-8.jpg
  5. The new role will now appear at the top of the page with all the other roles: to change the name of a role, visit How to Manage Employee Roles and Permissions to learn how to do so.
